Web Module: Assigning Permissions

This blog article will look at the different permissions that can be assigned to users and groups to access the web module and its features, and how this can be done.

In order for your users to be able to login to the web module they will need to be given permission to do so. You can do this from the Vantage Ultimate console, on the Web Module tab.

Permissions can only be given to users and groups in your organization, so you must first set up your organization structure in the Organization section of Vantage. You can assign permissions separately for individual users, or any level of grouping that is in your organization structure.

To assign permissions to a user or group:
1. Go to the Web Module tab in Vantage
2. Click on your configured web module in the Web Modules list, then click the Connect link on the left to connect to your web module
3. In the Permissions section click the Add button
4. Select either an individual user or a group of users in the left hand list, and use the arrow to move them across to the right hand list. When you have added all the users and groups whom you want to assign permissions for, click OK

5. In the Permissions section click on the user or group you want to configure permissions for, then set the Allow, Deny or Inherit button for each section as appropriate.

Note: You will notice that by default, the very top level in your organization tree has the permission ‘Inherit’ set on all features. This implicitly denies access to all features.

Tip: If you want to Allow or Deny permissions for an entire section, you can set the button for the header for that section, and leave the individual items in the section set to Inherit, you don’t have to set each item in a section indvidually. For example, if you want to give Allow permissions for a user to both Login and Identify Users, you can just set the “Web Module” row as Allow. The other items will automatically become allowed.

6. Once you have configured all of the permissions click the Apply Changes button
7. To upload these changes to the web module, click the Synchronize link on the left in the Web Module box

If you apply permissions for a group, and then apply different permissions for an individual user that is part of that group, or a subgroup of the original group, the lowest level of permissions (closest to the individual user) will apply.

For example, if I allow permission to the Analysis section for the Australia group, and then deny permission to the Analysis section for the Australia > Corporate group, then the Corporate group will not have permission for the Analysis section, but anyone else in the Australia group will be allowed.

You can test the permissions for any user by clicking the Test Permissions link on the left in the Permissions box. You can select the user you want to test permissions for using the button, and you can then view that user’s settings for each feature.

In the Permissions section, the users and groups listed can have 3 different icons.

You can also apply a security lock to permissions. Permission locks require a password to be entered in order to change a setting. This is useful if more than one person uses WebSpy Vantage, and you do not want them changing settings such as ‘Identify Users’ for certain individuals or groups in the Web Module.

To apply a security lock to a permission:
1. Click the Permission Security link on the left in the Permissions box
2. Check the checkbox for the feature that you wish to lock
3. Enter a password and click OK

To remove the security lock:
1. Click the Permission Security link on the left in the Permissions box
2. Un-check the checkbox for the feature that you wish to unlock
3. Enter the password and click OK
